Privacy Policy
This Privacy Policy explains how VivSoft, LLC ("VivSuite," "we," "us," or "our") collects, uses, discloses, and protects information when you visit vivsuite.com (this "Site"). It applies only to this marketing website — not to the VivSuite product itself (app.vivsuite.com), which is governed by a separate agreement and privacy terms provided at sign-up.
This policy is written for visitors and prospective customers located in the United States and is intended to comply with applicable U.S. federal and state privacy laws, including the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA) and comparable state privacy laws (such as Virginia, Colorado, Connecticut, Utah, and other states with similar statutes). If you are located outside the United States, please note your information will be transferred to and processed in the United States.
1. Information We Collect
Information you provide directly
The only information this Site actively collects is what you choose to submit through the contact form in the "Get Started" section. That form asks for your:
- Name
- Email address
- Company name
- Message
Form submissions are processed by our third-party form provider, Web3Forms, which delivers the message to our inbox. We do not use the form to collect payment, financial, or government ID information.
Information collected automatically
This Site does not run analytics or advertising scripts and does not set its own cookies. Our hosting provider may automatically log standard technical information for security and reliability purposes (such as IP address, browser type, referring page, and timestamp), consistent with typical web server logging. This Site also loads web fonts directly from Google Fonts (see Cookies & Tracking Technologies below), which causes your browser to connect to Google's servers.
2. How We Use Information
We use the information described above to:
- Respond to inquiries submitted through the contact form
- Provide information about VivSuite's products and answer questions about pricing or onboarding
- Maintain the security, integrity, and proper functioning of the Site
- Comply with legal obligations and enforce our terms
We do not use the information you submit for automated profiling or decision-making that produces legal or similarly significant effects, and we do not use it to serve you targeted advertising.
3. How We Share Information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We disclose information only in the following limited circumstances:
- Service providers: Web3Forms (form delivery) and Google Fonts (webfont delivery) process limited data on our behalf, solely to provide these functions.
- Legal requirements: if required to comply with a valid legal process, protect our rights, or protect the safety of others.
- Business transfers: if VivSuite is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to standard confidentiality protections.
4. Cookies & Tracking Technologies
vivsuite.com does not set first-party cookies and does not use analytics or advertising trackers. Two third-party connections are made when you load this Site:
- Google Fonts — this Site loads typefaces directly from Google's servers (
fonts.googleapis.com/fonts.gstatic.com), which may log your IP address as part of standard request handling. See Google's Privacy Policy. - Web3Forms — used only when you submit the contact form, to deliver your message to us. See Web3Forms' Privacy Policy.
If we add analytics, advertising, or additional cookies in the future, we will update this policy and, where required by law, provide a cookie consent mechanism before those technologies load.
This Site does not currently respond to browser "Do Not Track" signals because no common industry standard for interpreting them has been adopted. Where required by law, we honor the Global Privacy Control (GPC) as a valid opt-out preference signal; because we do not sell or share personal information, a GPC signal currently has no additional effect on how we process your data.
5. Data Retention
We retain contact form submissions for as long as reasonably necessary to respond to your inquiry and maintain our business records, and then delete or anonymize them. You may request earlier deletion at any time — see Your Privacy Rights below.
6. Data Security
We use reasonable administrative and technical safeguards to protect information submitted through this Site, including transport encryption (HTTPS/TLS) and browser security headers (HSTS, X-Content-Type-Options, Referrer-Policy, Permissions-Policy, and a Content-Security-Policy). No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your Privacy Rights
Depending on where you live, you may have some or all of the following rights under state privacy laws such as the CCPA/CPRA (California), VCDPA (Virginia), CPA (Colorado), CTDPA (Connecticut), UCPA (Utah), and similar laws in other states:
- Right to know / access the categories and specific pieces of personal information we hold about you
- Right to delete personal information we have collected from you
- Right to correct inaccurate personal information
- Right to opt out of the sale or sharing of personal information, or of targeted advertising — we do not currently engage in either
- Right to non-discrimination for exercising any of these rights
- Right to appeal a denied request, where applicable
How to exercise these rights: email info@vivsuite.com with the subject line "Privacy Request," or call (301) 375-0061. To protect your information, we may take reasonable steps to verify your identity before fulfilling a request. You may also designate an authorized agent to submit a request on your behalf. We will respond within the timeframe required by applicable law (generally 45 days, extendable by an additional 45 days when reasonably necessary).
8. Children's Privacy
This Site is intended for business audiences and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us at info@vivsuite.com and we will delete it.
9. Other Websites
This Site links to app.vivsuite.com and may link to other third-party websites. Those sites operate under their own privacy policies, and we encourage you to review them — this policy applies only to vivsuite.com.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Changes take effect when posted, and we will update the "Last revised" date above. Material changes will be reflected with a revised date on this page.
